Take the Weekends Off!

When I began my tenure-track position in 2005, I did not have Internet access at home or a smartphone. I remember telling a collaborator not to expect a response from me on Saturdays or Sundays as I did not check email on the weekends. He was astonished. Fast forward to today: I have both web access at home and an iPhone so it’s more challenging to avoid working on the weekends now. But I still make every effort not to.

We all need a real break from work. I’ve found I need time off on the weekends in order to be productive the following week. Our productivity declines precipitously when we try to work more than 40 hours a week. It is, thus, much more effective to consciously limit our working hours so that we can be as productive as possible during those times we are working – and can enjoy our time off, guilt-free.

What would happen if you didn’t work at all this weekend? I spent a recent weekend in Yosemite National Park, with limited phone and email access. I went on a hike to a waterfall, swam in the cool and clear Merced River, had engaging conversations with friends, and laughed with my daughters. When I came back to work on Monday, I felt rejuvenated and ready to move forward with my writing projects.

If you are used to working all or part of the weekend, here are some ways to spend your time that will ensure you return to work rejuvenated:

1) Take a long walk in the park without your phone. There is scientific evidence that walking helps us think. When was the last time you spent time alone? I mean, really alone, without any electronic devices? If it’s been awhile, you might be surprised what happens when you venture out with just your thoughts.

2) Get some exercise. Go to the gym. Getting your heart rate up can make you feel great. Go lift some weights or run as fast as you can on the elliptical. Go for a swim or take a yoga class. Apart from being good for your heart, there is evidence that exercise is good for your brain.

3) Meditate. There are many mental, spiritual, and physical benefits to meditation. Try it out and see if it works for you. “Mindfulness meditation” has been found to enhance your focus and even reduce your stress levels.

4) Hang out with friends and family. Tell them that you love them. Find out what brings them joy. What about a friend with whom you can share your worries? It can be especially good to spend time with someone who makes you laugh as there are numerous health benefits to laughter.

5) Do something crafty or artistic, even if you’re not very crafty or artistic. Do you have a project lying around you have been meaning to get to? Do you have an easel tucked away in a closet? Pull it out and get painting. Or sign yourself up for a drawing or photography class. It will allow you to be creative on something other than work.

End of Year Check-In … 2013 is nearly over!

There are many ways a writer can stay motivated.


Setting small goals and meeting them is one example. However, setting big goals also can be helpful.

Setting large goals for the year, for example, can help you to think about the big picture. And, once you meet those goals, it can be useful to think about all you have done so that you can develop motivation to move forward.

Goals

The trick is to set reasonable goals and reasonable expectations for meeting them.

The end of the year is a great time to go back to your big goals and see all that you have accomplished during the year.

As I was looking over what I did for last month, I was a bit down because most of what I did was to continue to revise works in progress. It can be hard to see the progress I am making when all I have to say for November is that I revised a chapter and an article and they are still unfinished.

To pull myself out of that slump, I decided to look at all I have done over the course of 2013. And, it turns out I have some major accomplishments to report.

I have been working on a fifteen-chapter textbook for just about three years. I wrote the first chapter in early 2011 and have been moving forward slowly ever since. This was the year for the final push and I managed to write the final six chapters this year! That is 48,000 new words. In addition, I returned to the reviews and made final revisions on each of the chapters. The final deadline for the textbook revisions was December 6, so the book is now officially in production. The book will be out in August 2014, and I will certainly celebrate that. (If you are curious, I have details about the book here.)

I also have been working on a book on deportees for a while. I completed the interviews in August 2010. I finished going through the transcriptions, writing memos and doing the preliminary analyses of the interviews in January 2011. I have been writing up the chapters ever since. In 2012, I wrote the Introduction and the first three chapters. In 2013, I wrote chapters 4, 5, 6, and 7 – four new chapters or about 40,000 words!

In addition to those two books, I have also been working on articles and book chapters for edited volumes. I wrote and submitted one book chapter and one article based on the interviews with deportees. I also wrote a rough draft of another article. Those three pieces overlap somewhat with the book manuscript, but are not exactly the same.

While writing this, I looked back to see what I did in 2012, and my productivity was similar – five textbook chapters and four chapters of the deportee book in addition to a few shorter pieces. It is good to know that I can maintain a consistent writing pace. It is also remarkable to me that my productivity for 2012 and 2013 were so similar. Perhaps I really have found my writing groove! As I mentioned last year, I have been able to accomplish all of this writing by maintaining a consistent writing habit of two hours a day, five days a week.

I find looking back over my accomplishments to be rewarding. It also gives me energy to move forward and keep up momentum for next year.

Now that I am finished with the race textbook, I can focus all of my energies on revising and submitting the book on deportees. There is no doubt that I can be finished with the revisions by Spring 2014. This is fantastic, as I am ready to be done with it!

Once I finish the deportee manuscript, I can work on the three articles I have drafts of. And, then I can move on to my next project!

It's November, also known as #AcWriMo

For the past couple of years, academic writers on social media have begun to participate in #AcWriMo - Academic Writing Month - the academic version of National Novel Writing Month.

I first heard about #AcWriMo from PhD2Published - which has a post announcing and describing the 2013 version of #AcWriMo. I have done #AcWriMo for the past two years - using my Twitter account.

I plan to do it again this year, and I hope you will join me.

Here are the four basic components of #AcWriMo that you might find helpful:

  • Decide on your goals. These goals can be simple or multifaceted. For example, you can have a goal of writing 750 words every weekday, or completing four pomodoros every day, or finishing a draft of an article.
  • State your goals in a public forum. You can do this on Twitter using the hashtag #AcWriMo. You can do it on the public spreadsheet created by PhD2Published. You can start an accountability group over email with friends. You can post your goals in the comment section below. You can do it anywhere you like. But, don't skip this step!
  • Post your progress. If you are on Twitter, you can post daily updates using the #AcWriMo hashtag. If you are on Facebook, PhD2Published also has a Facebook page where you can post. It is important to have public accountability, because it actually works!
  • Declare your successes at the end of November and celebrate!

In the spirit of public accountability, here are my November writing goals.

During the month of November, I will write for at least two hours each day. Most of my work is revising, so I will stick with a time goal, as opposed to a word count goal. When I am doing new writing, I will try to produce 500 new words a day.

My specific writing goals include:

  1. Put the final touches on OUP15 - the last chapter of the race text I am writing!
  2. Revise DEP5 - the fifth chapter of my book on deportees that is nearly finished.
  3. Finish writing DEP6 - the sixth chapter of my book on deportees that is in disarray.
  4. Pull together a first draft of DEP7 - the seventh chapter of the same book that is all in pieces.
  5. Finalize ASA conference paper.
  6. Work on grant for next project and submit to any November deadlines.

Start the Semester off Right: Make a Weekly Template

How are you feeling about starting the semester?

One strategy I find useful to allay anxieties about the semester is to take some time and plan out how my workweek will look. Doing this allows me to feel as if I am in control of my semester and makes it clear that it is possible to have a cool and calm semester. (I explain the importance of taking control here.)

The end of summer usually involves a shift in the daily and weekly workflow for academics. During the summer, most of us have fewer commitments and many of us do not teach. Personally, I have always made a point to avoid the lure of extra income and not teach during the summer. As for administrative responsibilities, these accrue as one advances in one’s career. However, I try to keep those to a minimum during the summer months. Because of my research interests, I also usually spend nearly all of my summer outside the United States.

This past summer, I traveled to Guatemala and Mexico - which also explains why I have not been posting to this blog all summer.

This August, once again, I find myself looking towards the fall semester and thinking about how I am going to organize my time. My children start school on Monday, and I teach my first class on September 4. This gives me some time to get used to the rhythm before the semester starts in full force. During this time, I plan to try out a new schedule and see how it works for me.

The idea is that I will create a weekly schedule that has my fixed appointments for the semester and also carves out time for things I need to do but could do at any time: prepare class, read, write, exercise, eat, and respond to emails.

Kerry Ann Rockqeumore calls this schedule your “skeleton.” She suggests making one each week. Mine does not look like a skeleton at all, so I prefer to refer to it as a template. I find it useful to make a template at the beginning of the semester and setting up repeating appointments in your calendar so that your template is ready each week when you decide on your specific goals.

How to make a weekly template


When making my weekly template for the semester, the first thing I think about is teaching, as teaching has a fixed schedule and I need to set aside time to teach and to prepare for class. I am fortunate to only be teaching one class this semester. Thus, I block out the time I will teach as well as a few hours to read and prepare for class. I am teaching a graduate seminar and we will be reading a book each week. Thus, I need to set aside time to ensure I finish reading the book. I will have time to read for this class in the evenings, after the kids go to bed, but, from experience, I know I also have to set aside time during the day to read and think about the books before class.

The next thing up is office hours. I have set those on Thursday afternoons.

Up next is writing. I know I write best in the mornings. My children will leave the house by 8:30am each morning. And, my goal is to write for two hours each morning. From experience, I know I need to set aside two and a half hours in order to get in two hours of writing, so I will set aside 8:30am to 11:00am each morning. Once I do that, I remember that I need to be more efficient on Wednesdays when I teach, so I cut Wednesdays back to 10:30 and give myself some extra time to prepare class.

I need to go up to campus on Wednesdays to teach and on Thursdays for office hours. I usually bike to campus, and it takes me about 45 minutes. So, I set aside an hour to get to campus on Wednesdays and Thursdays. Biking to and from campus also counts as exercise for those two days. Once I do that, I remember that I often don’t finish all of my administrative tasks during office hours on Thursdays. So, I decide I should go to campus on Fridays as well and take care of business. I can use Friday afternoons to write reports, submit receipts, review materials, and clean out my email inbox.

We all know how time-consuming email can be. So, I set aside another hour before lunch each day to take care of email. If I focus on email and avoid being sucked into the Internet vortex, this should be enough time.

Then, I remember I also need to set aside some time to read. As I mentioned earlier, I do find time to read in the evenings. However, I also need time during the day to download articles, order books, and select what I will read. So, I decide to set aside Monday afternoons to select readings and to read for the week.

I also need to get in my daily exercise. I will get in enough exercise from Wednesdays to Fridays by biking ten miles back and forth to work. So, on Mondays and Tuesdays, I set aside an hour for exercise each day.

I color-coded my schedule so that I can see at a glance how much time I am dedicating to writing (red), admin (green), teaching (orange), and self-care (purple).


The Weekly Template is a Model, not a Mandate

As I make this schedule, I know from experience that probably no week will go exactly like this. However, it helps me to have a structure. It also is a reminder that I am very busy and have lots of things to do, even though I am only teaching one course.

Inevitably, someone will ask to have a meeting with me during one of the times I have set aside for something else. That will be fine, though. Having this visualization of my ideal week will allow me to see what I need to move around in order to make time for a meeting.

If I need to have a one-on-one meeting, my first suggestion will be that the person come to my office hours. If that does not work, I have also set aside time on Thursday and Friday afternoons to meet. If neither of those times work, I will move things around. For example, if I need to meet on Tuesday afternoon, I will have to spend some time on Monday preparing for class. Or, if we meet on Friday at 11, I will have to get an early start on my writing and pack my lunch to take to the office. If the meeting is casual, I can suggest we meet for lunch any day of the week.

If I am asked to join a group meeting, I will suggest that the meeting happen on Thursday or Friday afternoon. My next preferred time will be a different afternoon. As usual, I will do my best not to schedule meetings during my writing time, as I know from experience that mornings are my most productive times for writing.

How Are You Spending Your Time?

Time is our most valuable resource, and we must be careful with how we spend it. This is particularly true when you are on the tenure track and have a set amount of time to reach specific goals.

How are you spending your time? Are you making the best use of your time to reach your goals?

I recently met two Assistant Professors who told me that they had not written anything this year. Both of these Assistant Professors work at research-intensive institutions. One told me she spent all her time preparing for two new courses. The other told me he was spending all of his time working on several major committees.

Both of these professors seem to have their priorities out of balance. As faculty, our job includes research, teaching, and service. At a research institution, you will be evaluated primarily on the basis of your research, although you also have to engage in teaching and service to meet your job requirements. I think that the best way to ensure balance is to engage in all three of these activities each week.

Let’s presume for now that you are working a 40-hour week – although I know many of you insist you are not. How should you be spending your work week?

When I worked at the University of Kansas, my department made it clear that I would be evaluated based on my research, teaching, and service. My chair also told me specifically that I would be evaluated with the following formula: 40% teaching, 40% research, and 20% service. At the end of each year, we had to fill out merit forms that used this same formula.

It became clear to me that I needed to align my time with my priorities. Thus, I made a little chart for myself and decided that I would spend my time according to those priorities. I would spend at least 16 hours a week on research, 16 on teaching, and no more than 8 on service.

Let’s look at 16 hours on teaching. With two courses, I was spending 6 hours in the classroom, and had 2 hours of office hours a week. That left me with 8 hours to prepare class and grade. Thus, I scheduled that amount of time into my week to accomplish those tasks.

Next up was 16 hours of research. For me, that translated into 2 hours a day of writing and one hour a day of reading, searching for literature, and other tasks related to research.

I had 8 hours a week left over for service. As an Assistant Professor, I rarely spent 8 hours a week on service. I often had about 3-4 hours a week in meetings. Some weeks I had to spend extra hours outside of meetings reading files. But, usually, I used that time to respond to emails.

My schedule looked something like this:


To keep to this schedule, I do my best to avoid scheduling meetings in the morning – time I have set aside for research and writing. These activities are an important part of my job and I do them best in the morning. Thus, I don’t schedule any other activities during this time.

When students ask to meet with me, I encourage them to come to my office hours. If they can’t make that time, I schedule a time with them that fits into my teaching time.

When I get Doodle polls about meeting, I try and schedule those in the afternoon – when I have set aside time for service and email.

Of course, I often have to rearrange my schedule. However, when that happens, I just move things around. Let’s say someone wants to schedule a meeting during my teaching prep time. I simply switch those two times around. The most important thing is that I am spending the appropriate amount of time on each aspect of my job.

Give yourself a break - a real one!

How do you plan to spend the upcoming holidays?

No matter how busy your Fall semester was nor how busy your Spring semester will be, one of the most important things you can do during this winter break is to take a real break.

It’s the end of the year. Heck, it may well be the end of the world after December 21, 2012. So, take a break.



If you haven’t taken a break in a while, and have forgotten how to do so, don’t worry: I can explain to you how to do it.

Taking a break - in four simple steps.

Step 1: Choose a date to start your break.


When will you begin your break? This Friday? December 24? Before then? Or, perhaps you’ve already started? Whenever it is, choose a date and plan to stop working on that date. At a very minimum, you should plan to take 4 days off. I hope you will at least take off the week between December 25 and January 2. If you are taking off more days, please let me know in the comments section, as I am always pleased to hear about people taking long vacations.


Step 2: Figure out what will and will not get done in the remainder of this semester (Use the 4 D's)

What tasks will and will not get done this semester? Which tasks will never get done? Which ones can be deferred or delegated? Anyone who has read David Allen's Getting Things Done: The Art of Stress-Free Productivity will know that there are four options for any task: do, defer, delete, or delegate.

To be able to take a break over the winter holiday, you will have to look at your remaining tasks and decide if you will do them this Fall, defer them to a later date, decide they are not important and delete them, or delegate them. These decisions can be hard, but it is ideal to decide now what will and will not get done to avoid feeling guilty later.

All of your pending tasks for the remainder of 2012 should fall into these four categories:
  1. DO:  Prioritize all of the tasks and projects you actually can and will do before you take a break.
  2. DEFER: If the project is something you really would like to do, but can wait until the Spring, defer it.
  3. DELETE: If you take a good look at your to-do list, I am sure you can find at least one task - perhaps more - that you can delete. (If you are deleting more than two, let me know in the comments section!)
  4. DELEGATE: Delegation is often particularly hard for academics, but there are things that can be delegated, such as organizing your office, transcribing your interviews, cleaning your data, and formatting your endnotes.

Go easy on yourself and only choose “do” for those items that must be done by you and must be done by the end of the year. Those items might include: grading, ordering books for next semester, finishing an overdue review or paper. Everything that is non-essential can either be deleted or at least deferred to next year.

Step 3: Finish what’s left on your list by your chosen end date.

Once you have a manageable lists of tasks on your plate, it will be easier to focus on those and get those done. Once you finish them, you will be ready for your guilt-free break.

Step 4: Take a real break

A real break means no work. It means taking care of yourself, relaxing, and allowing yourself luxuries that you don't normally take. A real break feels good and is good for your health.

During your break, I encourage you to:

  • Avoid email: Email will just remind you of work, which is not the point of taking a break.
  • Exercise daily: You don't have to run six miles a day. You can walk around the block, go ice skating, or take a bike ride. Exercise makes you feel good and is good for you. Win-win!
  • Read a novel.
  • Watch a film or television show you enjoy.
  • Cook healthy meals for yourself.
  • Eat lots of fruits and veggies.
  • Talk to your friends and family – in person and over the phone.
  • Dance, sing, play the guitar, write poetry: get in touch with your creative side.


Once you’ve finished your break, you will be rejuvenated and ready to start work again. Make sure you take enough time off to be refreshed when you return.

And, make sure that when you take a break, you really take a break. Doing so can actually do wonders for your productivity and creativity. Scientists have found that four days in nature enhances creativity. Spending time in nature, completely unplugged can enhance your emotional and physical health. Try it!

You Got Tenure …. Now What? Five Strategies to Keep Moving Forward

After spending years – sometimes nearly a decade – in the quest for tenure, it can be hard to figure out what to do once you receive that golden letter ensuring you lifetime employment.

I officially received tenure in the spring of 2012. When I received the tenure letter, I was in the middle of a busy semester, so I briefly celebrated and then kept on doing what I needed to do to keep everything afloat. I had a research trip to Peru planned over the summer, so I went to Peru and worked on that project. Then, the fall semester started, and I got back into my teaching and research routines. In sum, after getting tenure, life seemed to go on as usual.

However, now that I have had a few months to reflect, I can share some post-tenure strategies that I have found useful thus far. I provide these strategies with the caveat that these strategies have worked for me because of the path I have chosen. As Kerry Ann Rockquemore points out in this column there are multiple paths you can choose once you achieve tenure.

Here are the post-tenure strategies that I have found useful.

Strategy One: Keep on writing

It is crucial to work to maintain a daily writing practice so that you don’t lose the great habits you cultivated while on the tenure track. Now that you have tenure, you have more flexibility in terms of the kind of writing you do. The important thing is that you continue to cultivate your writing skills and habits.

Over the summer, I wanted to take somewhat of a break from writing, so I maintained my daily writing practice by posting on my family travel blog. Once the semester began again, it was fairly seamless to transition back into daily writing for research.

Strategy Two: Keep on reading

I know I always advise people to write daily, but I have recently learned that many people, in the quest for tenure, find less and less time to read. Now that you have tenure, you have the luxury to also set aside time for reading in and around your field.

This semester, I have been reading a new book about every two weeks. It feels great to read the books I have been meaning to read, and to keep up with the field. I usually try and incorporate something I learn from the books into my writing, but sometimes it can be useful just to absorb the information.

Strategy Three: Experiment with teaching

Now that you have tenure, you can worry less about student evaluations. There is some debate about how useful student evaluations are for assessing your teaching, so, for now, you can worry less about them and focus on trying strategies that you think will work.

I don’t mean that you should totally revamp your classes, but try something new. This semester, I decided to introduce blogging into my classes. I could have done that while on the tenure track, but it was easier to do it once I had tenure and did not have to worry as much about my evaluations taking a dive.

Strategy Four: Be proactive with service

While on the tenure track, you should have been protected from service and hopefully chose the service opportunities that took the least time. Now that you have tenure, it is time for you to take a good look at your service profile and think about what opportunities you would like to pursue. What kind of service are you good at? What kind of service do you enjoy? It is important to keep doing service so that you can feel part of the campus community. So, why not seek out the opportunities that allow you to use your skills and feel valuable?

Since arriving at the University of California, Merced this semester, colleagues have asked me to participate in a wide variety of service activities. I have made a couple of commitments, but mostly have asked for time to consider my options. Looking at my skill set and my passions, it is clear to me that there are some service areas where I would excel – and others that I would find draining. I decided that I would like to do something on campus related to faculty development and retention. Thus, I asked around and found the people who are in charge of that and let them know of my interests.

Strategy Five: Take care of yourself!

Now that you have lifetime employment security, you need to make sure you live a long, healthy life and enjoy it! I am sure you are aware that high stress, lack of physical activity, and an unhealthy diet are linked to health problems and a shortened life expectancy. Thus, if you haven’t been taking care of yourself thus far, now is the time to make your health your number one priority. Find the time to exercise by putting it into your schedule, use meditation or yoga to reduce stress, figure out ways to eat healthier, and find time to spend with people you enjoy.

Here in Merced, I am fortunate to live in a warm, dry climate. Thus, I have been able to ride my bike to my office – which is five miles from my home. I don’t have to go to campus every day, and thus am able to eat at home most days. That makes it easier to eat healthy meals. I have not been making time to meditate or do yoga, but may incorporate that into my life.

In sum, having tenure gives you a renewed freedom to make decisions about how you want to spend your time. Of course, there are consequences to any decision you make. However, you also have the flexibility to decide where you want to focus your energies, and I encourage you to do that.

How Ending your Work Day Right Can Boost Your Productivity: Take Stock and Stop Working

I have been known to go on and on about starting my day right – with two hours of writing. And, I still believe that two hours of daily writing is one of the “open secrets” to my success.

It is also important for productivity to end your day in the right way, and to be sure that you do end your work day.


The first step is to decide when to stop your day


We are not machines, and we cannot work 24 hours a day. At some point, we have to end our days. It is much less exhausting to consciously end your day and decide ahead of time to stop working than to try to keep working, but find your mind, eyes, and fingers diverting you to other tasks.

Personally, I end my day in steps. I stop writing before lunch. I stop answering work emails and doing administrative tasks after 6pm. I stop all Internet activity at 8pm. And, I stop reading when I get sleepy.

It might sound counterintuitive, but deciding when to stop working (and to actually stop working) can make you more productive.

Stop working so you can be more productive?

Yes! I stop writing before lunch because my ability to write clearly and quickly after lunch is extremely reduced. If I try and write after lunch, I am only half (or perhaps even less) productive than I am in the morning. Since I have lots of other tasks I need to attend to, it is much more productive for me to do those tasks and get back to my writing the next morning.

I stop answering work emails and doing administrative work after 6pm for two reasons. The first reason is that, by that time, I am tired. This means I am prone to making mistakes. Making a mistake over email usually means I have to either rewrite the email later or, even worse, spend two or three times the amount of time cleaning up the mess I made. So, it is not productive for me to respond to work-related emails in the evening. The second reason is that I need to consciously end my day so that I can take stock of what’s done and what is not done so that I can plan and prepare for the next day.

Each day, at (or around) 6pm, I look over my to-do list for the day. I cross off what I have done. Then, I make a new list for the next day that includes the items from my weekly plan for the following day as well as anything that either didn’t get completed that day or that came up during the day. That way, even if I didn’t complete all I intended to complete in a day, I don’t have to let my unfinished tasks take up mental space. Instead, my tasks are written down on a piece of paper and I know I will attend to them the next day.

David Allen writes about the importance of getting things out of your head and onto paper to clear up mental space, and I find this to be true. Once I write down what I need to do the next day, I don’t need to worry about forgetting to do it or making a plan for when I will do it. I know I will attend to the task the following day. And, if not, it will just get bumped to the next day. And, so, life goes on.

I also try to enforce an “all screens off” policy in my house at 8pm. Since I start writing early in the morning, most days, I am on the computer nearly all day, and I need plenty of time to recuperate. Thus, even though I might think I find it entertaining to read the news or the blogosphere, shop on Amazon, or mess around on Facebook or Twitter, the truth is that these activities are not actually relaxing. Instead, turning off all of the screens is beneficial both for me and for my kids.

After the screens are off, my kids and I can talk, finish up homework, make art, or read. The only work I will do in the evenings is reading – there is always more to be read. I try to treat myself to a novel when I can, but academic work is so much better at putting me to sleep!

A step-by-step guide to being an organized person in academia

How can you be an academic with an organized life? How can time management be applied to academics? I have been practicing time management for about five years, and can share with you what works for me.


This post summarizes how I keep myself organized during the semester. I have learned a variety of organizational tools from participating in Kerry Ann Rockquemore’s workshops, reading David Allen and Julie Morgenstern’s books, and following blogs such as the Professor Is In, Gina Hiatt, and Meggin McIntosh. In sum, there is a lot of information out there about time management, but I thought I’d summarize what I find works for me.

Annual Goals

Each January, I take stock of what I have done the previous year, and make a list of what I would like to accomplish in the coming year. Then, I separate that list out into months.

In January 2012, I wrote out a list that began like this:

    o DRAFT: INTRO Ch 1. Ch 2. Ch 3. Ch 4. Ch 5. Ch 6. Ch 7. Ch 8.
    o Citizenship notes
    o Incorporate discussion of TRAC data

Then, I broke that (longer) list down into months:

I took all of my 2012 goals and mapped them onto the 12 months in the year 2012. I printed out my 2012 goals and posted them on the wall in my office. I also saved the file in my Dropbox folder that I call “PLANS” so that I could access it from anywhere. Then, I took a little break, and made up my semester plan.

Semester Plan

My semester plan is a bit more detailed than my Annual Plan, as it breaks down each month into weeks. Here is the first week of January:

- 6 Guate interviews
- Talk for UH
- Summit Speech
- Outline/Plan OUP Chapter 3
- Set up mentoring for SREM

Weekly Plan

Each week, at the beginning of the week, I take my weekly plan and break it down even farther – into days.

Monday: 1 Guate interview. Read through HR.
Tuesday: 1 Guate interview. Finalize HR – send to CM. Summit speech.
Wednesday: 2 Guate interviews. Summit speech. UH Talk.
Thursday: 1 Guate interview. UH Talk. SREM Mentoring.
Friday: 1 Guate interview. UH Talk. Outline/Plan OUP Ch 3

I then map each of those tasks onto my calendar, like this:
Monday: 9am-11am: revise HR. 11am-1pm: Guate interview, etc.

At the end of the week, I do a weekly review, where I cross off my list those tasks I completed, and move to the next week those tasks I did not complete. The tasks I didn’t complete get moved to the following week. I always keep my semester plan and my weekly plan in my Dropbox folder so that I can access them from anywhere to make sure I am working on the right project.

Daily Execution

Each morning, I get up and look at my weekly plan so that I know exactly where to start. I try really hard to not check email, Facebook, or Twitter before writing. Then, I try to stick to my schedule and get what I need to get done. Things never go exactly according to schedule, but it seems things go better when I plan.

Get Your Goals and Projects out of Your Head and onto Paper

Like many academics, I often have several ongoing projects and it can be overwhelming to figure out when I will have the time to make progress on each of my projects, tasks, and goals.


Sometimes, just thinking about all I have to do is overwhelming, and it seems I may never finish my books and articles. I find writing everything I have to do down onto paper to be very helpful when I begin to feel overwhelmed.



At important milestones during the year – the beginning or end of the summer, fall, spring, or annual year – I like to sit down and map out where I am on all of my projects and when I expect to finish them. This is a great exercise to complete because it is a reminder that each of my projects is, in fact, terminable.

Today is August 5, which means that the beginning of the Fall semester looms ahead. For me, it is helpful to separate out what must be done before the semester begins and which projects can wait until I am back from my extended research trip in Peru. Unlike when I was doing my dissertation research, I now have to keep up with my other ongoing research projects and professional responsibilities even when I am collecting new data in remote locations.

Just thinking about all I have to do can be overwhelming. That’s why putting my goals and projects down on paper can be comforting. Even though it can also be scary to see all that I have to do, writing the tasks, goals, and projects down is the first step towards making a workable plan to complete them.

So, what do I actually need to do before the semester starts?


My discipline is Sociology. We sociologists have our annual meeting each year just before the beginning of the semester. This means that each year, in addition to planning classes and meeting other deadlines, I have to prepare for the annual meeting. This year, I have agreed to present three papers and serve as a discussant on one panel. Here are my four meeting-related tasks that must be completed before I leave Peru on August 15:


  • Prepare race and humor presentation
  • Prepare due process denied presentation
  • Prepare human rights and international migration presentation
  • Read and prepare comments on four paper for my role as discussant


Like most other academics on a semester system, I also have to prepare for my classes, which begin on August 24. This Fall, I am teaching just one class, and it is a class I have taught before. However, I have changed the syllabus considerably, and am teaching at a new university. I need to finalize the syllabus before the semester begins. Thus, we can add to the list:


  • Finalize syllabus for race class


As the semester starts fairly late in August, and I am dedicated to writing every day, in addition to these responsibilities, I also hope to finish up two other writing projects in August. These two projects are:


  • Complete tasks for R&R for LS project.
  • Complete Chapter 5 of DEP book.


Now, I have a complete list of what I will focus on until August 31. There are quite a few things on this list, but having this list permits me to stay focused, and ensures I will not work on any other projects during the month of August.

I do have several other things that I could work on, but I have moved all of these other projects off of my current priority list and onto my “Fall Semester Goals” list.

My Fall Semester Goals include:

  • OUP Chapters 5, 6, 7, 8, 9, 10, 12, 14, 15
  • DEP Chapters Intro, 1, 2, 3, 3, 5, 6, 7, 8, Conclusion
  • ERS R&R
  • Intro to SI for ERS

Now that I have a list of all of the projects I hope to complete during the Fall Semester, I can work on a semester plan. It is clear that when I do that, I will again have to prioritize and decide what can actually be completed in the Fall and what will have to be moved to the Spring. But, having everything I have to do in front of me permits me to make a realistic assessment of what can and cannot get done. Thus, when my editor emails me to ask when I will be finished with Chapter Six or my co-author wants to know if I can finish the R&R by October 15, I can give them a reasonably accurate answer.

Feeling Overwhelmed? Take a break!

Are you feeling overwhelmed this summer with deadlines looming, your email inbox bursting, and obligations piling up? If so, I suggest you take a counterintuitive action: take a break!


You need to pull yourself out of a cycle of overwork and regain a sense of control over your life and work. The best way to do this is to take a break.

My three month Vacation

It is simply not true that you have to work all day, every day to be a successful academic at a research intensive university. In fact, trying to work beyond your personal limits, not taking days off, and not getting enough sleep are counterproductive. You cannot do excellent research when you are sleep-deprived, cranky and overworked.

Unfortunately, this is a cycle many academics fall into. They get behind, struggle to catch up, and fall deeper and deeper into a hole of exhaustion. This strategy does not work. If you are over-extended, drowning in deadlines and haven’t had a good night’s sleep in weeks, my first suggestion to you is to stop working. Take the weekend off. Do something entirely unrelated to work on Saturday. On Sunday, relax, have breakfast with friends or family. Take a long walk. Go to the museum. Revitalize your creative connections. On Sunday afternoon, sit down and make a plan for the rest of the week.

Make a reasonable plan, one that has you going to sleep at 11pm and waking up at 7am. A plan that leaves time for meals, for exercise, for friends, for family. A plan that leaves time for life.

Trying to work all day, every day will not work. Not sleeping enough so that you can grade more papers, finish that book chapter, or file one more receipt is counter-productive. Instead, get a good night’s rest, and approach the tasks with new vigor in the morning.

Coming to terms with one’s own limitations can be hard. But, it can also be enlightening and liberating. Once you realize that you really cannot work all day, every day, there will be no more guilt about not doing so. If you know that opening up that laptop at 11pm does not mean that you will sneak in one more task, but instead will lead to a bad night’s sleep and a harried tomorrow, it makes much more sense to turn the laptop off, turn on some soothing music and go to sleep. Tomorrow morning, you will finish in five minutes that task that would have taken your exhausted mind 30 minutes to complete at the end of a long day.

If taking a break sounds like the most counterintuitive thing possible, that is probably all the more reason you should take one.

What’s the matter with a forty-hour work week for academics?

I am not sure why, but, many times, when I argue that professors should work 40 hours a week, I get push back. Perhaps this is because some people are happy working over 40 hours a week, and understand their flexible work schedules to mean that they are free to work night and day. That’s fine by me.

What is not fine by me is that young scholars are made to feel as if working 50, 60, and 70 hours a week is how things should be, and never even consider the possibility that an academic's job can be done in 40 hours. In my view, a 40 hour week is plenty. And, I’m not the only one who thinks this way. Just ask the folks who fought for the 8-hour work day.

If you feel as if a 40-hour work week cramps your style, that’s fine. This post is not for you. This post is for those academics who want their life back, who don’t want work to be their life, and who want to believe that it is possible to get their work done in 40 hours a week so that they can use the rest of the time to nourish their soul, feed their bodies, spend with their families, dance tango, or play video games.

Of course, I can’t speak for everyone, but I just want to put it out there that I have been an academic since 1999, and have pretty much always taken evenings and weekends off from work. The exception is my first year of grad school. I began graduate study in August of 1999 and spent the first year reading and writing whenever I got the chance, aside from the five trips abroad I took that first year to Peru, Mexico, Colombia, Ecuador, and Brazil. However, I came back to my second year of graduate school pregnant with twins, and, by force, spent a lot less time hitting the books. My husband spent the day taking care of our twin babies, so there was no way I was getting away with studying on the evenings and weekends.

When I got my first tenure-track job in 2005, my schedule stayed pretty much the same: I worked from 8am to 5pm, with a break for lunch. What has changed while on the tenure track is that I had to become much more efficient with my time to get it all done within the 40-hour work-week. And, I have had to stand my ground a few times when colleagues have suggested we have meetings on Saturdays.

So, how do I do it? On Tuesday, I actually kept track, as I do from time to time. The thing to note here is that I actually worked 8 hours, but did not do it neatly between 9am and 5pm. Instead, I worked from 6:30 to 7am, 8am to 11:30am and then from 1:30 to 2:30 and from 3pm to 5pm. Oops. That’s actually 7 hours. Unless you count the last half hour of social media, then it’s 7.5.

6am: woke up. had coffee. checked email.
6:30am: prepped my files to begin working for the day.
7am: got my three kids ready for school. had breakfast.
8am: Wrote for one pomodoro (25 minutes) on my book on deportees.
8:30am: Twitter, FB, planning.
9am: one pomodoro (25 minutes) responding to revisions on textbook.
9:30: social media stuff.
10am: one pomodoro revising textbook.
10:30am: another pomodoro applying for Human Subjects approval.
11:00am: another pomodoro finishing Human Subjects application. (5 pomodoros of writing!)
11:30: shower, get dressed, take a walk
12:30: have lunch with my husband.
1:30: read book for deportee project
2:30: walk to campus and get a new key for my office
3:00: check email, FB, Twitter.
3:30: more email. office cleaning.
4pm: Met with student to go over revisions to paper.
4:15pm: Reviewed book proposal for colleague.
4:30: Wrote a speaking proposal in response to an invitation to give a lecture.
4:50-5:05: some speed grading.
5:05: Social media
5:30: went for a walk
6:30: dinner, kids, more social media (not work-related).
8:30: kids to bed.
9-11pm: Read “Love and Capital” while kids were in bed reading as well.
11pm: Sleep

So, what did I do in that 7 hour work day?
- read a book
- responded to about 20 emails and processed another 50
- graded 15 short student essays
- met with a student
- wrote a speaking proposal
- responded to a colleague’s book proposal
- revised a chapter of a book-in-progress
- wrote and submitted a human subjects application
- pulled together data for a chapter of another book-in-progress.

For me, at the end of a productive day like that, I felt completely wiped out. There was no way I was going to be able to get in another 30 minutes, much less two to three hours of work. Thus, over the years, I have learned to stop working once I feel tired. That is why I stopped at 11:30am, took a long break, and then stopped again at 5pm. Admittedly, instead of reading Love and Capital at 9pm, I could have read something more directly related to my work. And, I do sometimes read for class at night. But, I at least try to stop working at 5pm.

Perhaps those people who work for 50, 60, or 70 hours a week have more stamina than I do. Perhaps I am more efficient and get done in 40 what others might do in 60. I really don’t know. But, I do want to put it out there that this system of working 8 hours a day (more or less) for five days a week works for this productive academic.

Five Steps to Making a Semester Plan for Academics

Now that we have brought in the New Year, there is no denying it: the Spring Semester is here. This means it is time to make a Spring semester plan.


The beginning of the semester is always a hectic time for academics. We often are anxious about all we have to do now – finalize syllabi, set up appointments, prepare for classes, and re-arrange our schedules – as well as all we have to do over the next few months - teach, grade, publish, etc. For this reason, I would like to share with you a strategy I learned from Kerry Ann Rockquemore in an online forum she hosted in 2007. (Dr. Rockquemore also has a great post here on the importance of semester planning.)

I have been planning my semesters since 2007, and now can't imagine life without semester planning. For me, semester planning takes a lot of the anxiety out of all I need to accomplish as it permits me to make a feasible plan and to see that it all will get done, eventually.

Spring Flowers

Although you probably are in a frenzy to get ready for the upcoming semester, I am going to suggest that you add one more task to your immediate to-do list: Make a plan for the Spring Semester.

Setting goals for the Spring Semester will allow you to see a bit more lucidly what lies ahead and will relieve some of your anxiety by permitting you to come to terms with what you can and cannot accomplish.

Thus, even though it is one more task in addition to all you have to do, I highly recommend you take an hour out of your busy schedule and sit down and write out your goals and plans for the Spring Semester. Here is how I do it.

Step One: List all of the research tasks that you would like to accomplish this semester

Look over your calendar and through your emails to make sure that you do not forget any important tasks. Things you might put on the list include: submit book proposal, send off article, complete a revise and resubmit, or prepare paper assignment for undergraduate class.

Step Two: Arrange your tasks by month

Now that you know what you need to do, the next step is to figure out when you are going to do it. Take a look at your list of goals and decide which ones you will complete in January. Put put in the month of January any task that requires your immediate attention. Anything with a February deadline goes in February, and anything with an March deadline goes in March. Once you have dealt with the tasks that have deadlines, you can decide where to put the remaining tasks that do not have firm deadlines.

Step Three: Arrange your tasks by weeks

If you have four writing goals for January, then you can place one in each week of the month. If you have two, then give yourself two weeks for each. The point is to decide NOW when you will turn your attention to each task. This will help you to keep on track and to feel less guilty about not dealing with everything at once. For January, for example, I have:

Step Four: Figure out what will not get done this semester (The 4 D's)

What do you do when you have more tasks than time? Anyone who has read David Allen's Getting Things Done: The Art of Stress-Free Productivity will know that there are four options for any task: do, defer, delete, or delegate.

For the Spring Semester, this means that you have to look at each of your goals and decide if you will do them this Spring, defer them to a later date, decide they are not important and delete them, or delegate them. These decisions can be hard, but it is much better to make this decision now than to have these tasks weigh on your shoulders for the rest of the semester.

All of your pending tasks should fall into these four categories:


  1. DO:  Prioritize all of the tasks and projects you actually will do this semester, and make sure there is a place for them in your semester plan.
  2. DEFER: If the project is something you really would like to do, but can't do it this spring, make it a priority for the summer (defer it).
  3. DELETE: If it is something you wish you could get out of, find a way to delete it diplomatically. For example, if you have agreed to do something by February and now realize you will not be able to, you can tell the person with whom you made the agreement: “I just made a detailed plan for my semester, and have come to realize that I simply do not have the time to complete this work by the deadline. I hope you can find someone else to fulfill this role.”
  4. DELEGATE: Delegation is often particularly hard for academics, but there are things that can be delegated, such as organizing your office, transcribing your interviews, cleaning your data, and formatting your endnotes.


Step Five: Implement your plan

A detailed semester plan is not of much use if you don't implement it. Many productivity experts suggest you print out your goals and place them somewhere you can see it on a daily basis. I think it is even better to post your plan where you will see it every day. This will serve as a constant reminder of your goals and where you are headed.

Each week, as you make your weekly plan, refer back to your semester plan to make sure you are on track. Finally, remember to find time to write every day to maximize your chances of achieving your semester goals.

Why I Love Doing My Annual Review

As we close in on 2011, it is time for me to do my year-end review. This process provides the space for me to assess my progress and take pride in my accomplishments.


Every year in December, my department chair sends a note around asking faculty to compile their annual reviews. The purpose of these reviews is to assess merit pay. In the past few years, raises have been few and far between. Nevertheless, I actually look forward to doing my annual review.

Fireworks

I find it rewarding to look over the past year and take stock of all I have accomplished. In academia, we often are looking forward to the next deadline or brooding over the latest rejection. There are far too few moments when we permit ourselves to bask in our success. For me, annual review is one of those times.

This year, for example, my annual review permitted me to reflect on the fact that I published two books in 2011 (Yo Soy Negro: Blackness in Peru and Immigration Nation: Raids, Detentions, and Deportations in Post-9/11 America), in addition to an article and a book review. My annual review also accounts for works submitted and in progress. Thus, I reported that I submitted two articles, and that one of them was accepted. I also reported my progress on two other books and the fourteen presentations I delivered.

In academia, it is easy to feel as if we are not doing enough. For this reason, it is important to have a clear idea as to what we are and are not accomplishing. My annual review does allow me to report what I have submitted, had accepted, and has come into print. It does not, however, take into account the time I have spent reading and preparing for chapters and articles I have not completed, nor does it allow me to account for the countless hours I have spent analyzing my data. This is fine, though, as it serves as a reminder of the importance of finishing and submitting works for publication.

My annual review also does not allow me to report my political, personal, or advice blogging. Again, this is fine with me because I do not blog for the explicit purpose of advancing my career, much less with the expectation that I will get a merit raise for blogging. I blog because I derive satisfaction from it and because it provides plenty of other rewards. For me, it is crucial to be conscious of the fact that my institution does not explicitly value blogging and publishing in online formats.

Taking stock of the year also permits me to take into consideration what I have not accomplished. I had hoped to have completed my book on deportees in 2011. I have not finished the data analysis, and thus have not finished writing the book. The main reason for this is that I let other projects with firm deadlines take precedence. This was particularly the case during the Fall semester, when I barely worked on my book. Instead, I completed two solicited chapters for edited volumes and two co-authored articles and pulled together and delivered ten presentations.

There is no point in chastising myself for what I have not accomplished. However, it is crystal clear that I need to say “no” to new opportunities, no matter how enticing they look, if I am to finish my book in 2012. I still have to put the final touches on two co-authored articles, although I hope to finish those in January. I also have taken on a new project that is unrelated to my book. So, clearly, yes, I need to say “no” to any additional opportunities, and focus on finishing my book.

I encourage you to take the time as we close out 2011 to reflect on what you have and have not accomplished this year. Reflecting on and celebrating your accomplishments will also make it clearer what you need to accomplish in 2012.

Seven Steps to Plan Your Week

My weeks always go better when I take the time to make a weekly plan. The process usually takes between 30 to 60 minutes, so can seem a bit cumbersome. However, I have a few years of evidence to show that the week always goes better when I make a thorough weekly plan.

A weekly planning meeting is one of the most essential tools for being productive while maintaining your sanity.



By planning your week, you can ensure that you complete your most important tasks while also leaving time for other priorities in your life such as children, relationships, hobbies, and well-being. The weekly planning meeting is a tool I learned personally from Kerry Ann Rockquemore and have passed along to others. It is also detailed in David Allen's excellent book, Getting Things Done and Julie Morgenstern's book, Time Management from the Inside Out. In short, the weekly planning meeting is a well-known and validated time management strategy. Here is how I do it.

Make a weekly planning meeting part of your life.

A weekly planning meeting allows you to pause at the end of each week and take stock of what you did and did not accomplish. It permits you to make decisions at the beginning of the week. It allows you to get all of the tasks that you know you need to do out of your head and onto paper, thereby clearing up mental space for creative tasks.

How to conduct a weekly planning meeting.


Step One: List all of the tasks you need to accomplish over the next week.

Like many academics, I often have several ongoing projects. This means that I need to pull out my list of annual or semester goals each time I do my weekly plan to make sure that I have not forgot any upcoming deadlines and am focusing my energies on the most important task.

It is often helpful to get out your calendar and look back and forward to make sure you don’t forget anything important. It is also useful to have your Semester Plan handy to ensure that you are making progress on on-going projects.


Step Two: Transform your tasks into action items

Once you have written out your tasks, you want to make sure that each of your tasks is written as an action item.  If, for example, one of your tasks is: “Make revisions on Revise and Resubmit,” it might be helpful to list the tasks involved in that project. If you don’t know what the tasks are, then your first task will be to “Make revision plan and task list for Revise and Resubmit.” If you are pretty sure you will need to do some more reading, your next task could be: “Download five relevant articles on existentialism for Revise and Resubmit.” The key is that you need tasks that are actionable, that tell you exactly what to do, and that you can be sure whether or not you have accomplished.


Step Three: Block out your commitments.

Get out your electronic or paper calendar and block out all of your meetings and commitments. If you have a faculty meeting, for example, block that out. If you teach, block time out for your classes. If you have a doctor’s appointment, block that time out as well.

Step Four: Map your tasks (from Step Two) onto your calendar.

If you think it will take you two hours to come up with a revision plan for your article revision, then block out two hours of time for that. If you need an hour to prepare for class, block out that hour. Put all of your tasks into specific time frames into your weekly calendar. Have tasks left over that don’t fit? See Step Five.

Step Five: Cut those tasks that do not fit into your calendar.

This is always hard, but it is much better to make these decisions before the week starts than to realize at the end of the week that your most important tasks never got done. As David Allen explains in Getting Things Done: The Art of Stress-Free Productivity, it is helpful to think of these extra tasks as having three possible outcomes: Defer, delegate, or delete. Each task that does not fit onto your weekly calendar must either be put off (deferred), given to someone else (delegated) or not done at all (deleted).

When I make my weekly plan, I often keep a running list of tasks that will go into the next week - those are the deferred tasks. If I can figure out who to delegate to, I can change an action item from "Finish bibliography" to "Ask Research Assistant to finish bibliography." To delete items, I just highlight and delete them and keep on moving.

Step Six: Implement.

When you wake up on Monday morning (or whenever your week begins), you do not have to figure out what to do next. You just pick up your calendar, and it will tell you what to do. This is fantastic, as you can jump right into action when you begin your week instead of having to remember what you need to do.

Step Seven: Review.

The inherent value in a weekly plan is that it allows you to see what is and what is not getting done. In your next planning meeting, it is important to review the prior week and to think about what did and did not get done. This will help you to figure out how long tasks actually take, and to pick up patterns. (I definitely am guilty of letting certain tasks slide week after week. Noticing which tasks are not getting done each week allows me to develop new strategies to ensure that I make progress on all important fronts.)

Some people prefer to do their weekly review and planning meeting at the end of the work week. Assessing what did and did not get accomplished allows them to relax over the weekend, knowing that they have a clear plan for getting things done the following week. Others prefer to do this at the beginning of the work week or on Sunday evening, when their mind is clear. It is up to you to figure out what works best for your work rhythm. The important thing is that you develop and implement a plan.

Make Time for Writing Every Day

One of the best ways to become a prolific writer is to write every day.


If you write every day, you will make progress on your manuscripts, you will become a better writer, and it will become easier for you to write. Scheduling your writing into your calendar will ensure you make time for writing every day.



Yes, I mean, literally, take out your calendar for next week and set aside a specific time for writing every day. I am sure you are a very busy person with many responsibilities. However, if you are reading this blog, then you likely are looking for ways to be more productive. And, one of the best ways to become more productive is to schedule your writing time and treat it just like any other appointment. Here is how.

Schedule writing every day.

Take a look at your schedule for next week and figure out when you might have between 15 minutes and two hours to write every day for five days a week. Spending at least 15 minutes a day with your manuscript means that it will always be fresh in your mind. Deciding now exactly when you will write will ensure that you actually make the time to do it.

Schedule at least 15 minutes a day.

If you think that there is absolutely no way you could make any progress in 15 minutes, I encourage you to try to think of something you could do in 15 minutes. For example, I imagine you could proofread your introduction, free write, update your references, or revise a footnote in 15 minutes. On a previous blog I listed “Seven Ways You Can Write Every Day.”

Don't schedule more than two hours at a time.

I also suggest that you do not schedule your writing for more than two hours at a time. If you do have a day with no other obligations, it is likely more productive to schedule two hours of writing, followed by two hours of reading than to try to schedule four hours of writing. After reading and writing for four hours, schedule in a long break that involves food and exercise and try to go in for another round. Alternatively, you can take the afternoon off, knowing that you have just had a very productive morning!

Treat writing like any other appointment.

Treating writing like any other appointment means that, if you have scheduled writing from 8am to 9am on Monday, and someone asks you to meet at that time, that you have to say, “No, I can’t meet at 8am, how about we meet at 9am?” You, after all, will be very busy from 8am to 9am, working on your manuscript. If you are nervous about claiming you are busy when you are “just” writing, keep two things in mind: 1) If you are at a research university, writing is part of your job; and 2) It is quite unlikely that any of your colleagues will actually ask you what you are doing when you tell them that you cannot meet at a particular time.

So, go ahead, take out your calendars, and schedule between 15 minutes and two hours of writing into your week next week. I have!

Five Steps to Making a Semester Plan for Academics

There is no denying it: the Fall Semester is here. This means it is time to make a Fall semester plan.

The beginning of the semester is always a hectic time for academics. We often are anxious about all we have to do now – finalize syllabi, set up appointments, prepare for classes, and re-arrange our schedules – as well as all we have to do over the next few months - teach, grade, publish, etc. For this reason, I would like to share with you a strategy I learned from Kerry Ann Rockquemore that has brought order to my semester.

Although you probably are in a frenzy to get ready for the upcoming semester, I am going to suggest that you add one more task to your immediate to-do list: Make a plan for the Fall Semester.

Academic life revolves around semesters which start and end several times over the year. The beginning of a new semester, then, is something that academics experience over and over again. However, even for those of us who have been teaching for many years, new semesters continue to be times of high anxiety and insecurity. We may have taught our classes several times before, but we never know how this batch of students will be. We may have been in our department for years, but it is often unclear what issues or challenges our department will face this year. For new professors and graduate students, the horizons are even less clear. The unknown, logically, leads to anxiety.

Setting goals for the fall semester will allow you to see a bit more lucidly what lies ahead and will relieve some of your anxiety by permitting you to come to terms with what you can and cannot accomplish.


Thus, even though it is one more task in addition to all you have to do, I highly recommend you take an hour out of your busy schedule and sit down and write out your goals for the Fall Semester. Here is how you do it.

Step One: List all of the tasks that you would like to accomplish this semester

Look over your calendar and through your emails to make sure that you do not forget any important tasks. Things you might put on the list include: submit book proposal, send off article, complete a revise and resubmit, or prepare paper assignment for undergraduate class.

Step Two: Separate tasks into categories

.
The categories I use are: Research, Teaching, Service, and Personal. Writing goes under the "Research" category, and "Write two paper assignments" goes under "Teaching." Dividing these tasks into categories will help you to prioritize your tasks according to your professional trajectory. For example, if you are at a Research I institution, and your Teaching and Service lists are much longer than your Research list, you may need to figure out how to move things around.

Step Three: Arrange your tasks by month.

It’s almost the end of August, but go ahead and put in August anything that needs your immediate attention. Anything with a September deadline goes in September, and anything with an October deadline goes in October. Once you have dealt with the tasks that have deadlines, you can decide where to put the remaining tasks that do not have firm deadlines.

Step Four: Arrange your tasks by weeks.

If you have four writing goals for September, then you can place one in each week of the month. If you have two, then give yourself two weeks for each. The point is to decide NOW when you will turn your attention to each task. This will help you to keep on track and to feel less guilty about not dealing with everything at once.

Step Five: Figure out what will not get done this semester.

If you have tasks that do not fit into your semester plan, now is the best time to decide that you will either put them off for another semester, remove these tasks from your list of goals, or delegate them to someone else. Believe me, it is much better to make this decision now than to have these tasks weigh on your shoulders for the rest of the semester. If the project is something you really would like to do, make it a priority for the Spring semester. If it is something you wish you could get out of, find a way to do that diplomatically. For example, if you have agreed to do something by November and now realize you will not be able to, you can tell the person with whom you made the agreement: “I just made a detailed plan for my semester, and have come to realize that I simply do not have the time to complete this work this semester.”

Five Steps towards Creating a Five-Year Plan to Achieve Tenure

One of the best things you can do as a new Assistant Professor is to create a five-year plan, also known as a research trajectory. This plan will serve as a roadmap towards tenure. Knowing exactly what you need to achieve tenure and making a plan to get there can take a lot of the anxiety out of this nerve-wracking process. This post explains how to create a five-year plan that will enhance the likelihood that you will achieve tenure.

I will focus on the research side of the equation, as this is most often the most important part. However, tenure expectations vary by institution, and you need to figure out what is most important where you work.

Step One: Realize that you only have five years to put together a tenure portfolio.


The time between your first day as an Assistant Professor and the day you have to submit your tenure file flies by. Colleges and universities vary on the procedures and dates, but in general, you have five years to put your tenure file together.

I know you are supposed to have six years, but it is actually five. Let me explain. Suppose you began a tenure track position in August 2010. By August 2011, you will have completed your first academic year, and by August 2015, you likely will have to submit some parts of your tenure file – such as the names of external reviewers. The review of your tenure case will be complete at the end of your sixth year. This usually means you have to start the review process about a year beforehand.

Step Two: Set your goals.


The first step to creating a five year publication plan is to figure out what you need to accomplish to have a successful tenure review. How would you like for your CV to look in five years?

You can find out about departmental expectations by asking your mentors and colleagues. You also should look at the CVs of people who recently have been awarded tenure both in your department and at other institutions. If you think that it is possible that you might leave your current place of employment before going up for tenure, you need to be aware of standards at other institutions. Remember, publications are a form of "portable wealth" that you can take with you to other jobs. And, even if you don’t plan to leave, you still need to be aware, as things might not work out for you at your current institution, and it is important to be marketable. Once you figure out the departmental and disciplinary expectations, you can set your own publication goals.

Step Three: Make a plan for achieving your goals

Let’s say, for the sake of this blog post, that your goal is to have one book and three articles in print by the time your tenure file is reviewed. You must now figure out how long that will take to accomplish, starting from the ideal publication date. It takes a long time to publish, so you need to plan far in advance.

If you would like for your book to be in print by August 2015, for example, you need to work backwards from that date. For your book to be published in August 2015, you need to submit the final version to the publisher by August 2014. For that to happen, you likely need to submit the original version by August 2013, which means you should submit the book proposal no later than February 2013. There you have your first concrete goal: Submit your book proposal to potential publishers no later than February 1, 2013.

You can then do the same thing with the articles, based on the time it takes for articles in your field to be accepted and published, and the number of articles you reasonably can submit in a year or a semester. Keep in mind that articles are almost never accepted upon first submission, so allow time for revision and re-submission.



Step Four: Map your plan out onto a calendar

Once you have decided, for example, that you will submit your book proposal by February 2013, your first article by February 2012, your second article in August 2012, and your third article by February 2013, then you can begin to map out the steps required onto a calendar.

For example, if your first goal is to submit an article by February 2012, then you can use the time between now and February 2012 to ensure that your article is ready for submission. You might use August 2011 to make a plan for the revision of one of your dissertation chapters, September 2011 to do the literature review, October 2011 to re-analyze the data, November 2011 to write the first draft, and December to get peer feedback and and January to finish the revisions.

You will need to do this for each of the goals you have set. However, if you have never mapped your goals onto a calendar before, it might work best for you to focus on one goal at a time. For example, once you have revised one chapter of your dissertation into an article, you will have a better idea as to how long it will take to do the others. Then, you can develop a feasible plan for the remaining articles.

Step Five: Execute the plan

The best way to meet your publication goals is to work on them consistently. If you spend at least one hour every day from Monday to Friday working on one of your publication goals, you are much more likely to meet them than if you only work on them on the weekends or only work on them over break. If getting tenure is important to you, and getting tenure requires publishing, it behooves you to do something that gets you towards publishing each and every day. Usually that “something” is writing. It also includes data analysis, reading background literature, and letting ideas percolate. However, most academics find it fairly easy to spend hours and hours reading and running data, yet find it harder to spend time actually writing. For this reason, it is important to write every day to ensure you achieve your goals.

If you have already started your faculty position and did not make a five year plan, it is not too late. You can make a plan based on what you would like to have accomplished by the time you go up for tenure or promotion, no matter how much time you have left.

The planning process can be stressful as you think of all you have to do. At the same time, it can be calming, as you come to terms with what you will and will not be able to accomplish over the next five years.

How to have a productive summer by working four hours a day

It’s summertime and the living is pretty…. Or, at least it should be!

How can you have a remarkably productive summer and return to the school year feeling refreshed and like you had a break? To do this, you need to plan to be productive and to plan to leave time to enjoy life. The thing is, if you plan to work all the time, you are likely to feel guilty every moment you aren’t working. And, who wants to feel guilty all of the time?




Plan to be productive

To plan to be productive, first you have to decide what you will accomplish over the summer. Make a list of all of the things you would like to do this summer. Include everything – from revising book chapters to analyzing data to submitting articles to finalizing your syllabi.

Once you have your list, decide when you are going to complete these things. Start with the most important items first. How long do you think it will take you to turn that dissertation chapter into an article? How long will it take for you to come up with a draft for your next book project or grant proposal? Now, map those tasks onto your summer weeks. What will you do between May 15 and May 31? Between June 1 and June 15?

Prioritize your Tasks

Once you map your tasks onto your calendar, you likely will realize that you have more tasks than time. But, believe me, it is better to realize this now than at the end of the summer. At this point, you still have time to prioritize. What is most important? What items have deadlines? What can wait until the Fall or until next summer? What can’t wait? What can you drop or delegate?

Make a Schedule – and stick to it

The next step is to come up with a work schedule. When will you work and when will you play? Many people work best in the mornings; others are best late at night. How many hours will you work each day? How much time will you spend writing each day? When and where will you do your writing?

If you wish to return to the semester relaxed and refreshed, I recommend trying to work every day for just four hours. That’s right – just four hours! You see, academic work is trying and if you try to work all day, every day, you most likely will get burned out. Instead, if you try to work for just four hours every day, you will have the rest of the day to re-energize and are less likely to burn out.

Limit your working hours

Believe me - you can have a very productive summer if you work for four focused hours each morning. The thing is – you do have to focus during that time. And, it works best if your time really is limited. Last summer, for example, I worked while my children were in summer camp. This meant that I had from 8am to noon each day to work. My husband and I have agreed that, during that time, I will be allowed to concentrate and focus on my work. I will not clean, cook, do laundry, watch television, or surf the Internet during that time. I have all the rest of the day to complete household tasks and to relax.

Make time for yourself each day

As academics, we all need time to process our ideas, thoughts, plans, emotions, and experiences. It is crucial that you carve at least an hour out of each day for yourself when you can process all of your thoughts. This time allows you to make plans, to come up to solutions to theoretical puzzles, and to relax your mind.

If you have children, finding alone time can be tricky. But, there usually is a way. When my children were small, I took them to the gym each day – where they had a daycare where I could leave the children while I exercised. Now that they are older, I take them to the park where I can walk around the track while they play. Other ideas would be to put a DVD on for the children while you meditate or run on your treadmill. In my mind, me-time each day involves exercise, but others may prefer to garden, sew, crochet, knit, paint, or work on model airplanes. So long as it is an activity that allows you to think and reflect, it should work.
